It should be read together with the Master Services Agreement, Data Processing and Security Addendum, Subprocessors and Service Providers List, Support Policy, Service Level Agreement, and other applicable service documents.
2. Information We Collect
The information FixedOps Innovations collects depends on how an individual, Client, prospective Client, business partner, or authorized user interacts with FixedOps Innovations.
2.1 Website, Contact, and Business Inquiry Information
When someone contacts FixedOps Innovations, submits a form, requests information, schedules a meeting, or communicates with us, we may collect information such as name, business email address, phone number, company name, title, message content, scheduling information, and related communication details.
2.2 Client and Account Information
In connection with Client onboarding, contracting, implementation, support, and account management, FixedOps Innovations may collect business contact information, authorized signer information, account records, Authorized Location information, implementation notes, configuration records, workflow status, and related operational information.
2.3 Customer and Service Workflow Information
When FixedOps Innovations provides Services to a Client, we may process information made available by or on behalf of the Client, including customer first and last name, phone number, VIN, repair-order or service workflow information, vehicle information, operational records, configuration data, documents, screenshots, extracted text, or related service workflow data. This information is processed to provide the Services and is generally controlled or authorized by the Client.
2.4 Technical, Usage, and Log Information
FixedOps Innovations may collect technical and operational information such as user access records, authentication metadata, system activity, application logs, error logs, device or browser information, IP address, timestamps, workflow status, and related metadata. We use this information to operate, secure, monitor, troubleshoot, improve, and support the Services.
2.5 AI Processing Content
Where the Services use AI-assisted processing, FixedOps Innovations may process prompts, extracted text, model inputs, model outputs, classification results, structured results, and related processing metadata. AI processing content may include or be derived from Client Data, Customer Information, or operational records. FixedOps Innovations treats such content according to the sensitivity of the underlying information.
2.6 Public and Reference Data
FixedOps Innovations may use public or reference data, such as public vehicle specifications, public recall information, public service bulletin information, and publicly available business information, to support service functionality, enrichment, analysis, reporting, or operational decision support.
3. How We Use Information
FixedOps Innovations may use Personal Information, Client Data, Customer Information, and related operational information for the following purposes:

To provide, operate, administer, support, secure, monitor, and improve the Services.

To support onboarding, implementation, configuration, testing, validation, troubleshooting, and Client support.

To process service workflow information, documents, repair-order information, vehicle information, warranty-related information, and operational records as authorized by the applicable Client.

To communicate with Clients, prospective Clients, business contacts, authorized users, service providers, and partners.

To manage contracts, service activation, support requests, account records, CRM activity, workflow tracking, and business operations.

To maintain security, detect errors, investigate suspicious activity, preserve audit records, respond to incidents, and protect the Services.

To comply with legal, contractual, tax, accounting, audit, insurance, security, and compliance obligations.

To create aggregated, anonymized, or de-identified information that does not identify a Client, customer, individual user, or specific individual.
4. How We Share Information
FixedOps Innovations does not sell Personal Information and does not use Personal Information for unrelated targeted advertising. FixedOps Innovations may disclose information as reasonably necessary for the purposes described in this Privacy Statement, applicable agreements, or applicable law, including to:

Approved subprocessors, service providers, contractors, vendors, and professional advisors that help FixedOps Innovations deliver, secure, host, support, monitor, administer, or improve the Services.

Clients, Client-authorized users, Client-controlled systems, Client-selected systems, or Client-authorized recipients, where disclosure is part of the Services or requested by the Client.

Service providers that support hosting, database services, authentication, storage, AI processing, communications, electronic signature, workflow management, CRM, business productivity, compliance, security, or related operations.

Legal, regulatory, law enforcement, insurance, audit, or similar parties when required or permitted by law, contract, subpoena, court order, regulatory requirement, dispute resolution need, security need, or legitimate business purpose.

Successors or counterparties in connection with a merger, acquisition, financing, reorganization, sale of assets, or similar business transaction, subject to appropriate protections where applicable.
Material subprocessors and service providers are identified in the Subprocessors and Service Providers List.
5. Client-Controlled and Third-Party Systems
The Services may depend on Client-managed systems, Management Software providers, Client workstations, printers, networks, Client-authorized users, Client-selected systems, public data sources, or third-party systems that are not controlled by FixedOps Innovations. FixedOps Innovations is not responsible for the privacy or security practices of Client-controlled systems, Client-selected systems, Client-authorized recipients, or third-party systems not acting on FixedOps Innovations’s behalf.
6. Cookies, Website Logs, and Analytics
FixedOps Innovations may use ordinary website technologies such as cookies, server logs, analytics tools, or similar technologies to operate the website, understand website usage, maintain security, troubleshoot issues, and improve the website experience. If FixedOps Innovations uses additional analytics, advertising, or tracking technologies that materially change these practices, FixedOps Innovations may update this Privacy Statement or provide additional notices where appropriate.
7. Data Retention
FixedOps Innovations retains information only as long as reasonably necessary for the purposes described in this Privacy Statement, applicable agreements, the Data Processing and Security Addendum, the Data Retention Schedule, and applicable legal, contractual, tax, accounting, audit, insurance, security, dispute-resolution, and legitimate business requirements.
Backup copies may persist until overwritten, expired, or deleted according to applicable backup lifecycle rules. FixedOps Innovations is not required to delete information from immutable, archived, or operational backups before the ordinary expiration of those backups, provided such information remains protected and is not restored except as necessary for business continuity, security, legal, compliance, or operational purposes.
8. Security
FixedOps Innovations maintains reasonable administrative, technical, and physical safeguards designed to protect Personal Information, Client Data, and Customer Information against unauthorized access, use, disclosure, alteration, or destruction. These safeguards may include access controls, authentication controls, least-privilege permissions, encryption or other protective measures for data in transit and at rest where appropriate, logging and monitoring, vendor review practices, incident response procedures, backup and recovery practices, and personnel confidentiality obligations.
No system can be guaranteed to be completely secure. FixedOps Innovations continues to review and improve its security practices as its Services, systems, vendors, and compliance program evolve.
9. AI-Assisted Processing
FixedOps Innovations may use approved AI processing providers to support document analysis, extraction, classification, repair-order interpretation, structured output generation, summarization, or related Service functionality. FixedOps Innovations uses AI-assisted processing to support the Services and related operations, not to sell Personal Information or use Personal Information for unrelated advertising. AI prompts and outputs that include or are derived from Client Data, Customer Information, or Personal Information are treated according to the sensitivity of the underlying information.
10. Aggregated, Anonymized, or De-Identified Information
FixedOps Innovations may create, use, retain, and disclose aggregated, anonymized, or de-identified information derived from use of the Services for analytics, service improvement, security, reporting, product development, benchmarking, or other legitimate business purposes, provided the information does not identify a Client, Client customer, individual user, or specific individual.
11. Privacy Rights and Requests
Depending on where an individual is located and the nature of the information involved, applicable privacy laws may provide rights to request access to, correction of, deletion of, or restrictions on certain Personal Information. FixedOps Innovations will evaluate privacy requests in accordance with applicable law, applicable contracts, Client instructions where relevant, security requirements, and technical feasibility.
Where FixedOps Innovations processes Customer Information or Client Data on behalf of a Client, FixedOps Innovations may refer the request to the applicable Client or coordinate with the Client as appropriate. FixedOps Innovations may need to verify the identity and authority of the person making a request before responding.
12. Children’s Privacy
The FixedOps Innovations website and Services are intended for business and professional use and are not directed to children. FixedOps Innovations does not knowingly collect Personal Information from children through the website or Services.
13. International Use
FixedOps Innovations is based in the United States. Information may be processed in the United States or in other locations where FixedOps Innovations or its approved service providers operate. By using the website or Services, providing information to FixedOps Innovations, or communicating with FixedOps Innovations, individuals understand that information may be processed in the United States or other applicable locations, subject to appropriate contractual and security safeguards where required.
14. Changes to this Privacy Statement
FixedOps Innovations may update this Privacy Statement from time to time to reflect changes in our Services, systems, vendors, legal obligations, privacy practices, security practices, or business operations. Material changes will be posted on the FixedOps Innovations website or communicated through another appropriate method where required.
